Cancelation Policy

At The Dental Studio, taking care of patients in a safe and timely manner is part of our daily purpose. Taking a customized approach means that we must have a certain level of predictability each day.

Appointment & Financial Policy

We do our best to diligently schedule each appointment at a time that works best for your schedule. We understand that life happens—emergencies arise, creating a change in a scheduled appointment and don't want you to be penalized for such instances. That said, to continue scheduling in a tailored way, we must reserve adequate time on each day for all of our amazing patients- and unfortunately we simply can't do that AND allow missed or late-canceled appointments.

What are "Late Canceled Appointments"?

Sometimes referred to as "short-notice cancelations"

Any appointment that is canceled within 2 business days (to the hour, not including weekends)  of a scheduled appointment.

What are "Missed Appointments"?

Any appointment that is:

  • Canceled the same day as the scheduled appointment

  • No notice- no show

  • 10+ minutes late

**If you are more than 10 minutes late, we will need to reschedule to allow adequate time for your complete appointment and it will be considered a same day missed appointment

Reserving your treatment appointments:

The Dental Studio will reserve a dedicated time to complete restorative treatment (i.e. fillings, crowns) with Dr. Erica/Dr. Erin. To hold a date and time specifically for you, we will collect a portion of the treatment cost (often $100, sometimes more) at the time of scheduling which will go toward your out of pocket costs. If for any reason insurance leaves you responsible for a lesser amount, we will always process the credit back to you.

Should you miss or late-cancel (inside of 2 business days, to the hour, not including weekends) restorative appointments, you will forego your deposit, the only exception being emergencies. In order to re-book, a card must be kept on file and we will get your new $100 deposit.

What is considered an emergency cancelation (where the fee is waived)?

  • You are genuinely sick (e.g. coughing, flu, fever, Covid)

  • You are hospitalized

  • A death in the family or family emergency

While we understand babysitters cancel, work meetings arise, kids are home sick from school, or you wrote your appointment time down wrong, those are unfortunately instances where we are unable to waive the cancelation fee, which we hope you can understand.

Good news, remembering your dental appointment is super easy!

We will send a few reminders your way that you will only received based on communication preferences and when the appointment was created.

Email Reminders:

  • Upon scheduling an appointment, a save the date

  • Around three weeks prior to your appointment

  • Four days prior to your appointment, a confirmation request for you to let us know we'll be seeing you

Text Reminders:

  • One week prior to your appointment

  • As a courtesy, you will receive a text 2 hours before your appointment to allow plenty of time to get here safely

We kindly ask that you confirm your appointment simply responding by text- just the letter 'C'- so we don't have to disrupt your busy day to make sure we will be seeing you. Outside of your reminders, we will send a text 7 days in advance asking you to confirm. If you have not confirmed we will send a follow-up text/email 4 days before your appointment.

The Dental Studio Team will always strive to schedule any next appointments when you are in the office, but we are available by text to simplify things. You're welcome to call as well. Additionally, for routine dental appointments, feel free to schedule at your convenience online. Visit our website or google page and go to appointments or tap "book now". Dental treatment must be scheduled with one of our team members.

This agreement includes the standard policy with a few updates as of 2025. Please don't feel as though you must remember each detail here. We will always be very transparent and provide you with as much detail as needed for each visit with us. That being said, by scheduling an appointment you agree to the above policy and understand that our team will always be as accommodating as we can (we are human, too - we know that life happens!) but as a small family business, in order to ensure quality care for all of our patients, I agree that any appointment canceled inside the parameters listed above will result in a cancelation fee and I agree to pay said fee to The Dental Studio. Treatment cancelation fees are typically $100 and same day late-cancel appointments (non-treatment visits) are typically $50. Cancelation fees are subject to change.
